Hiring Terms for Dundee District Scout Hall
Booking and Fees
- The hall is available for one-off hires by individuals, community groups, and organisations. Scout and other youth groups may receive priority or discounted rates.
- A completed online booking form and a non-refundable deposit (20% of the hire fee or ยฃ10 whichever is higher) are required to confirm the booking.
- Full payment is due no later than 7 days before the event date.
Usage
- The agreed hire period includes setup and cleanup. The hall must be vacated promptly at the end of the booking period.
- Overrunning the agreed time may result in additional charges.
Responsibilities of the Hirer
- The hirer is responsible for the conduct of attendees and ensuring the hall is treated respectfully, reflecting the values of the Scouting movement.
- The hirer must ensure that any electrical item has been PAT tested and takes all responsibility for the use of said equipment
- The hall must be left clean and tidy. Cleaning supplies will be provided; rubbish should be removed unless otherwise agreed.
- The hirer must ensure all doors and windows are secured, and all lights, heating, and electrical appliances are turned off upon leaving.
Restrictions
- Alcohol is permitted only with prior written consent and proof of the relevant licensing. Events serving alcohol may require additional supervision.
- Smoking and vaping are strictly prohibited inside the hall and within 5 meters of entrances.
- No activities contrary to the aims or values of Scouting (e.g., promoting discrimination or violence) are allowed.
- No dramatic, musical, film or video work shall be performed or shown at the premises without obtaining all necessary copyright licences and any theatre, film, video, public entertainment licences.
- Noise levels must be kept to a reasonable volume to respect neighbours and other users.
Health, Safety, and Safeguarding
- The hirer must familiarise themselves with the hallโs safety information, including fire exits, equipment.
- Fire exits must not be obstructed, and all attendees must comply with emergency procedures if necessary.
- If the event involves children or vulnerable adults, the hirer must ensure appropriate safeguarding measures, including adequate adult supervision and adherence to relevant laws.
- The use of hazardous materials or open flames (e.g., candles) is prohibited unless prior approval is granted.
Insurance and Liability
- The hirer must provide proof of public liability insurance if required (e.g., for commercial events).
- Dundee District Scouts are not responsible for the loss, theft, or damage of personal property brought onto the premises.
Cancellation Policy
- Cancellations must be made in writing. Deposits are non-refundable. Cancellations within 7 days of the event will forfeit the full hire fee.
- Dundee District Scouts reserve the right to cancel a booking if the hall is required for essential Scouting activities or emergencies. In such cases, a full refund will be provided.
Damages
- Any damages to the hall or its contents during the hire will be charged to the hirer. This includes excessive cleaning costs.
Indemnity
- The hirer agrees to indemnify Dundee District Scouts against any claims, damages, or losses arising from their use of the premises.
